Before you hire anyone: the AI already in your software.
The software small businesses already pay for has added a lot of AI in the last two years. Before you pay anyone, us included, to build something, check whether it's a setting you can switch on. Here's what's in the most common platforms as of September 2026.
Why check first
Before a call with a business that runs on a big platform, we read that platform's current feature list. Sometimes the owner's biggest problem is already solved by an add-on they didn't know about. When that happens, we'd rather tell them than sell them a build.
Here's what's in the platforms we run into most often.
Field-service software
ServiceTitan
ServiceTitan's AI, branded Atlas and built on its Titan Intelligence engine, runs across the platform. For a small shop, the piece that matters most is usually the AI Voice Agent. It answers calls, gathers the caller's details, books or reschedules jobs, recognizes members, can collect outstanding invoice payments, and hands off to a live person based on rules you set. It switches to Spanish automatically.
Cost: an add-on billed on usage. ServiceTitan's FAQ says every call counts toward the bill whatever the outcome, and it doesn't publish per-call rates. It requires ServiceTitan's own phone products.
Jobber
Receptionist answers calls and texts around the clock, answers questions, books jobs into your calendar, creates requests and escalates urgent calls to your team. Jobber also has an AI assistant, launched as Copilot, that answers questions about your own business data.
Cost: Receptionist is $29 a month for 30 conversations, then $0.79 per additional conversation. Spam and calls with no conversation don't count. It's included with unlimited use on the Plus plan.
Housecall Pro
CSR AI answers every call and chat, day or night.
Cost: an add-on. It's not priced on Housecall Pro's public pricing page, so you'll need a quote from sales. Base plans start at $59 a month billed annually.
Accounting: QuickBooks Online
Intuit has built a set of AI agents into QuickBooks Online. The ones most small businesses will notice:
- Accounting AI categorizes transactions, helps with bank reconciliation, and asks for more information on entries it can't place.
- Payments AI drafts customer payment reminders and gives a view of cash flow.
- Payroll AI collects employee information and runs payroll with a manager's confirmation.
Cost: Accounting AI is included with Essentials, Plus and Advanced. One thing to know: Intuit's help pages say individual AI features can't be switched off one by one.
Property management: AppFolio and Buildium
- AppFolio Realm-X answers resident and prospect messages, runs parts of the maintenance flow including dispatching pre-approved vendors, processes invoices and generates owner statements.
- Buildium Lumina AI includes Bill Scan, which reads invoices into draft bills, Write with AI for messages, and AI agents for leasing, maintenance, accounting and resident experience. The agent package is included in the Premium plan or sold as an add-on.

Where built-in AI stops
Built-in AI is good at work that happens entirely inside one platform. It tends to stop at the edges:
- Work that crosses tools. A quote in your field software, the follow-up in Gmail, the bill in QuickBooks. No single vendor sees all three.
- Your voice. Built-in drafts sound like the vendor's template. Drafts trained on your own past messages sound like you.
- Your rules. Which customers never get a text, what counts as an emergency, which vendor always codes to which account.
- Businesses not on the big platforms. If you run on Gmail, spreadsheets and QuickBooks, most of this list doesn't apply to you.
