AI for property management: start with the inbox.

Small property managers and HOA management companies live in a shared inbox: maintenance requests next to dues questions next to a violation dispute. That inbox is usually the best place for AI to start. Here's what to check first, what to automate, and where the line is.

Check what your software already does

If you run on AppFolio or Buildium, start there. Both have added AI across leasing, maintenance and accounting, and some of it may already be in your plan.

Where custom work helps is the business that doesn't fit neatly into one platform: an HOA manager working from a shared Gmail inbox, a small portfolio kept in spreadsheets and QuickBooks, or statements your owners expect in a format your software doesn't produce.

Four jobs worth automating

The hours below are our planning estimates for a typical small management company, not client results. Your assessment would measure your own.

1. A resident inbox that sorts itself

Every incoming email gets tagged by type (maintenance, dues, violations, move-in and move-out, general questions), routed to the right person, and flagged if it's urgent. Routine questions arrive with a reply already drafted from answers you've approved. About 6 hours a week for an inbox getting 40 or more emails a day.

We start with a week of sorting only, no drafts, so you can check the routing before relying on it. Urgent items always notify a person.

2. Maintenance requests turned into work orders

Requests arrive as emails, texts and voicemails with half the information missing. An automation pulls out the unit, the problem and any photos, asks the resident for what's missing, and stages a work order for your approval. A water leak gets treated differently from a squeaky door because you wrote down the difference.

3. Owner statements assembled from the ledger

Monthly statements built by hand, one property at a time, become statements generated from your ledger in your existing format, with a column showing what changed from last month and any unusual items flagged for your review. About 3 hours a month.

4. Vendor bills and lease renewals

Vendor invoices read and coded to the right property and account, staged for approval. Leases coming up for renewal pulled into a monthly list with a drafted notice for each, sent only after you review it.

The fair housing line

The Fair Housing Act applies to your screening, advertising and communications no matter what tool produces them. In 2024, HUD published guidance on how the Act applies to algorithm-driven tenant screening and to housing ads on digital platforms. A September 2025 HUD memo withdrew the advertising guidance along with other fair housing documents, but the Act itself didn't change.

Our approach for property managers:

  • No AI screening decisions. We don't build anything that approves, denies or ranks applicants.
  • A never-draft list. Messages that mention discrimination, disability or accommodation requests, injury, legal action, a regulator or the press go straight to a person. The system doesn't draft a reply.
  • Your approved answers only. Drafted replies come from an answers file you've reviewed, and each draft shows which answer it used.

Resident data

Resident names, phone numbers and payment histories stay in your accounts. We use business tiers of AI tools where the provider doesn't train on your data by default, and card numbers never enter anything we build.
