AI for landscaping and tree service: get the estimates out the same day.
In a landscaping or tree care business, the work that slips is the paperwork after the walk-through: the estimate written that night, the follow-up that never goes out, the spring renewal nobody sent. That's where AI helps most, and the owner still makes every price.
Estimates from a voice memo
You walk the property, look at the trees, and make mental notes. Then the estimate gets written at the kitchen table, or doesn't get written at all.
With a voice-memo workflow, you talk through the job in the truck: "Remove the leaning oak by the driveway, grind the stump, haul it all. Raise the canopy on the two maples out back. Mulch the front beds, about eight yards." That memo comes back as a draft estimate in your own template. Each line is priced from your own price list. Anything not on the list shows "price needed" instead of a guess.
You read it, fix what needs fixing, and send it the same day. Our planning estimate: about 3 hours a week back for a crew lead writing several estimates a week. That's an estimate for a typical company, not a client result.
A written price list. If yours lives in your head, the first session is writing it down. That list is useful on its own, and it's what keeps the AI from inventing numbers.
Quote follow-ups and seasonal renewals
Two versions of the same pattern: a list of customers due for something, and a short personal message drafted for each one.
- Quotes with no reply get a friendly nudge on day two and day six, naming the job and written in your voice. The drafts wait in a morning queue for your approval. About 3 hours a week.
- Seasonal work such as spring cleanups, aeration and overseeding, leaf removal, and plant health care programs gets a renewal list built from last year's jobs, with a drafted note for each customer.
- Review requests go out after a job closes, with the customer's name and the work done. They start as drafts. Once you trust them, you can switch them to automatic.
If any of these go by text, the customer must have opted in, and your texting number must be registered with the carriers. We explain both rules on our HVAC page; they apply the same way to landscapers.
